1. Send
Text and Graphics in Appropriate Formats. This point cannot
be stressed enough; please send your files according to the following
specifications for easiest creation and maintenance of your site:
a. Text.
Text for large amounts of content (e.g., more than one paragraph)
should be sent as a word-processing document, ideally Microsoft
Word (versions up to Word 98), though WordPerfect is acceptable.
This document can be sent either by email (as an attached document)
or on disk or cd. Small amounts of text (e.g., changing a few
words or a line at a time) may be sent in the body of an email,
not as an attached document. Important: do not send large
amounts of text in the body of an emailit is very hard
to convert to HTML (the language Web sites are built in). Please
do not include any special formatting in the Word document such
as tabs, columns, text in all caps, bulleted or numbered lists,
headers/footers, embedded images, etc.
If you want
special formatting, please let us know by including an instruction
to us in the document, and make reference to it when you email
the file(s). If you must include special formatting in your
document, we will probably have to post it on your site in Adobe
Acrobat format, which is the preferred way of making such files
on the Web easy to view and download for users.
Please make
sure the text has been proofread and is accurate. We do read
the content and are pretty good at catching things, but we're
not perfect, so please help us out as much as possible.
b. Graphics.
Graphics may be sent a few different ways. If you have digital
files (e.g., photos from a digital camera or photos or other
graphics, such as a logo, that have already been scanned into
the computer), you may email them as attached files or send
them on a disk or cd. We prefer that these files be in either
JPEG or BMP format, though GIF may also be fine. If you're not
sure what format your files are, contact us and we'll try to
help you figure it out.
If you have
only hard copies, such as a photo or a logo that is printed
on a business card or letterhead, for example, you may send
those as is, and we will scan them here. Please make sure they're
in good condition.
If you have
special requests for original graphics, please let us know,
and we will discuss the project with you to see if it's feasible.
2. Sending
Hyperlinks. When you want to include links (including email
addresses and links to other Web sites) in your Web pages, please
make sure you send the complete link, including the "http://"
at the beginning, and make sure the link works before you send
it. Helpful hint: to make your links foolproof, load the
site you want to link to into your browser, select the Web address
as it appears in the location bar of your browser, copy the address
and then paste it into your Word document or email message body.

3. Update,
Update, Update. We've saved the best for last here. It is
crucial that you keep your site current, including things like
making sure contacts in your organization are current on the Web
site, so that email addresses work correctly. If you have a What's
New or Calendar page on your site, please make sure the items
on those pages are up to date. The point person should be going
through the site at least once a month to make sure everything
is correct and current.
When making
updates, please let us know the address of the page you want updated,
such as "http://literacynet.org/lincs/whatsnew.html." This makes
it easy for us to find the right page and update it quickly.
Helpful
hint: We can talk with you about timelines. Typically it takes
us a few days to a week to make updates, but if you mark your
email "URGENT," we will try to get it updated within a day or
two. We'll let you know if we can't.
